- Accommodation in the hostel is a privilege and cannot be claimed as a right, and may not be provided to all the students of KIU.
- Immediately after the admissions of under graduate & graduate programs, admissions for female hostels will be announced.
- Proper advertisement for hostel admission will be made through Provost Office in local media and KIU website.
- Students seeking hostel accommodation will be required to apply on the prescribed admission forms (Annexure No. 1). Forms will be made available in Office of hostel warden. Submission of attested copies of academic credentials, a latest passport size photograph and domicile will be required.
- Properly filled forms will be submitted to the office of Dy. Superintendent Hostels, which will be scrutinized and finalized by the Hostel Management Committee, and submitted to the Provost for approval.
- Merit list will be prepared according to the approved admission criteria (Annexure No. 2)
- 25% admissions will be made on open merit. For BS level merit means result of SSC and HSSC. For MSc level merit means result of SSC, HSSC & BA/BSC/BS. For M.Phill level merit means results of SSC, HSSC, BA/BSc/BS & Masters.
- Separate space will be provided for M.Phill & PhD students. 4 % quota will be dedicated for M. Phill & PhD. In case applications from MS or PhD students are not received on stated deadline against reserved quota of hostel slots, BS & masters’ students will be accommodated against such slots on merit.
- In case of transfer from other universities & sub-campuses, student will apply as per prescribed rules and will qualify on prescribed merit.
- Students from weekend school will be facilitated as per existing rules against the reserved quota of 4 %.
- Special students will be admitted on priority bases after verification of their physical and medical reports by Hostel Management Committee.
- Students with criminal records will not be eligible to get admission in the hostel.
- A student who gets admission in the hostel shall occupy her room within two weeks. A student who fails to turn up within this period her admission will be cancelled after deduction of one month’s room rent.
- Security deposit will be refunded to a resident only after she has cleared all the dues and properly handed over the possession of the room when she leaves hostel.
- Students are required to deposit room rent in the beginning of each semester.
- Deposition of security, admission fee and mess security will be made once at the time of admission.
- Parents/guardians (paternal and maternal real uncles’ aunts and father/mother in law, which will be clarity through legal affidavit (verified by public notary)/form B/family card) will accompany their ward at the time of verification of guardian’s documents.
- In case of submitting fake documents such as medical fitness certificate and guardians’ documents, boarder will be expelled from hostel.
- All bonafide students will be considered for hostel accommodation only for the duration of their respective course of study. However, the maximum extension for one semester can be granted on the basis of valid reasons duly supported with documents and recommendation of the Chairperson of the concerned department. Such extensions can be granted by the approval of Provost with double room rent.
Boarders will have to be very careful to maintain excellent environment in the hostel following the ethical values and manners.
Boarders will have to be very careful about their personal hygiene, cleanliness of their rooms and above all the whole hostel premises.
Boarders will be expected to take care of one another and refrain using abusive language, picking things of others without taking prior permission, making a noise or using musical instruments etc in the hostel premises.
Boarders are expected to follow the instructions of the hostel staff.
A student council will represent the overall hostel community. The members constituting the students’ council are the head girls of different sections of hostel.
The boarders will honor the diversity and ethnicity among the students and promote a culture of KIU family. They should avoid such discussions that may hurt the feelings of others.
Religious and political congregation will not be allowed in hostel premises, however, the boarders will be facilitated to attend their religious ceremonies by providing university transport on special occasions, subject to written permission from their guardian on the prescribed form (Annexure No. 3).
Entry of university male staff other than deputed staff at hostel, to hostels without prior permission will be prohibited.
No outsiders, male/female will be permitted to enter into hostel. No private vehicle will be allowed to enter into hostel for any purpose without permission of hostel authorities.
Students will not be permitted to use tape recorders, electric heaters & water rods and gadgets.
Residents must switch off all the lights and fans while going out of the rooms.
Students must keep their rooms neat and clean. The beds should properly be arranged and a bed cover used.
Resident students may not be allowed to vacate the seat until or unless they pay all outstanding dues.
Boarders will themselves be responsible to look after their belongings, e.g mobile set, desktop, laptop, computer, audio/video systems, cash and jewelry.
All rooms including cupboards and belongings must be opened for inspection when required.
Any student opening a room by breaking the room locks or window-panes etc, shall be liable to pay the fine according to the price.
A resident cannot shift from allotted room to another room within the hostel without permission of the warden.
Students, who have to go for field visit, with the purpose of collecting data for thesis/research/classrooms observation and internships, must submit a written statement of supervisor, cross verified by the respective Head of Department.
The boarders will be bound to follow the daily schedule (dinning, university in/out/ study hours/ guardian visiting schedule).
. In case of causing any damages to hostel property (furniture, crockery, utensils and other facilities), the boarders will be fined according to the cost of the commodity damaged. The same amount will be used to replace the damaged commodity.
Chalking and writing slogans of any kind on the walls will be considered as an offence, and the doer will be penalized. Hostel Management Committee will decide the nature of penalty.
Hostel management will not be responsible for the out of hostel activities of a boarder.
Four guardians shall be nominated and registered by the parents. In case of orphans their real brothers, elder sisters or real paternal & maternal uncles will nominate the guardians and sign the registration form (Annexure No. 4) in the presence of Superintendent/Deputy Superintendent Hostels.
In case of changing of guardian a written affidavit would be submitted by the parents.
At least two local guardians shall be registered to contact in case of any emergency and illness.
Passport size photographs and ID card copy of each guardian, including their valid contact number shall be furnished with guardianship profile format.
Each guardian will be issued an Identity card sealed with office stamp of Warden (Deputy Superintendent Hostels) that will be checked at every visit of guardian.
Guardian will sign in the register placed at guardroom of hostel, whenever boarder will leave hostel premises. In case of emergency if registered guardians are unavailable a nominee (telephonically or written) of guardian may sign-out.
In case of illness or health issue the student or her roommates must inform hostel management.
In case of normal sickness, such as temperature, flue, tooth aching, stomachache, special days’ pains, normal cuts on skin and diarrhea, Hostel Nurse shall be contacted, who will provide first aid and treatment.
In complicated cases or serious illness, including pregnancy related complications (among married students), boarders or roommates should contact immediately the hostel staff (lady nurse, lady guards and hostel warden). In such cases boarder shall be taken to hospital and local guardians shall be informed immediately.
In case of admission in the hospital and prolong treatment, guardians will be responsible and lady nurse/lady guard shall delegate her responsibility to the boarder’s guardians. A written undertaking will be collected from guardian on the spot. (Annexure .5)
Boarder shall stay out of hostel till complete recovery. On their return, they need to produce medical fitness certificate, otherwise they will not be allowed to stay in hostel.
If any boarder gets injured or sick during university timing, the Medical Officer will be responsible for treatment and hostel warden shall be informed, in case of hospitalization of boarder.
Students with fatal and contagious diseases will not be allowed to stay in hostel.
Students with serious psychological issues/diseases shall not be allowed to stay in hostel.
Use of drugs, liquors and sedatives will be strictly prohibited. If any boarder found using such substances, serious disciplinary action will be taken.
- During study hours no other activity is allowed.
- Students should strictly follow the schedule of the study timings.
- During study hours, boarders will not be allowed to disturb other boarders.
- Students will be bound to wash their clothes in the laundry area.
- As soon as the clothes get dried, the students will pick their clothes immediately. In case of deliberate delay in picking the clothes boarder will be fined.
- Students will have to be very careful about the use of water and electricity.
- Hanging of clothes, bed sheets and blankets in the hostel balconies/railings will be prohibited.
- Boarders will use dustbins to dispose off the garbage.
- Parents/guardians can meet their ward from 9:00 am to 07:00 pm during summers and 9:00 am to 5:00 PM during winters.
- Only the registered guardians will be allowed to meet the borders.
- At least one guardian shall accompany the unregistered visitors.
- No boarder is allowed to leave the hostel premises without taking permission from the Warden and physical appearance of the registered guardians (nominee in case of emergency and unavailability of registered guardians). Otherwise disciplinary action will be taken against her.
- Scholars of MPhill and PHd can leave hostel premises through self-guardianship sign-out system in outgoing register, subject to written permission of self-guardianship submitted from parents or real elder brother.
- In case of sudden deaths of nearest relatives/emergencies, the boarder will be allowed to leave with confirmed nominee (through telephone, email or sms) of the guardian.
- Hostel gate will be closed after half an hour of end of university timing.
- After closure of the gate attendance will be taken. Boarders must ensure their presence in their respective rooms during attendance timing.
- A resident shall, under all circumstances, inform the warden about her absence from the hostel. She and her guardian shall sign the register maintained for this purpose.
- Any student found absent from the hostel without prior permission and breaking the set procedure is liable to be fined or her admission be cancelled.
- If late entries observed more than three in a month, the student shall be expelled.
- Residents returning from home must report themselves before the roll call time. Violators will be fined.
- Food items suppliers must be registered properly at Provost Office.
- The suppliers must furnish all details required by making an agreement to ensure timely provision of quality food items, maintaining smooth and easy access to hostel.
- Only the nominated person can enter into hostel premises with food items.
- The Mess Management Committee (boarders) will ensure food quality.
- Boarders other than the Mess Management Committee will not enter cooking area.
- Complaints about mess should be made in writing through a member of mess management committee to Dy. Superintendent Hostels.
- Mess fee and other charges will be decided by the Mess Management Committee with the consultation of warden/head girls, according to the market rates.
- One month’s advance of mess fee shall be charged at the time of admission.
- It will be obligatory for all the students to avail mess facility. If any student has medical problem, then medical advice along with written application shall be submitted to the warden, and finally a decision will be made accordingly in consultation of mess management committee.
- Cooking in rooms is strictly prohibited; failing to this will lead towards disciplinary action.
- A student absent for more than 3 days (this may decide by students council) shall be given subsidy according to the number of days.
- No meals will be served in the rooms except in case of illness.
- All residents of hostel shall be required to clear mess dues before 20th of each month. After that Rs. 50/- per day fine will be applicable.
- For the proper functioning of the hostels, committees such as Mess Committee and Students Council will be formed by election/ selection of senior most students.
- The tenure of the committee and students’ council will be one year.
- Certificates will be awarded to members of council/committee in recognition of their services in KIU hostels.
The admission of a boarder will be cancelled if she is liable to committing following misconducts:
- Keeping non-residents without prior permission.
- Nonpayment of hostel fee within stipulated time frame.
- Keeping arms, explosives, intoxicants and drugs.
- Involvement in anti-social or un-ethical activities.
- Found guilty of conduction of theft or intentional damage to hostel property.
- Late comers from university and leaving hostel or visiting bazaar from university without prior permission from the Warden (Deputy Superintendent Hostels).
In case of frequent violation of rules, on the part of a boarder, will be warned in writing. In case of noncompliance, the matter will be shared with her parents/guardians. Even then if she does not refrain, she will be expelled from the hostel, keeping the hostel management committee on board.
